Who we are
This Privacy Policy explains how Quantoflow Systems Inc. ("Quantoflow," "we," "us" and "our") collects, uses and discloses personal information through our website at https://www.quantoflow.com (the "Website").
It covers information about visitors to the Website and people who contact us through it. Information our customers process in the Quantoflow platform is governed by their agreement with us and described in our Data Processing Note.
Information you give us
We collect the information you enter into forms on the Website:
- Demo and onboarding requests: first and last name, work email, phone number, company location, industry, company size, the FINTRAC reports you file, how you heard about us, and anything you tell us about your needs.
- Compliance checklist downloads: name, email, industry, company size and location.
- Consultation bookings: name, email, industry, company size, your message and the time you choose.
- Contact messages: your email and message.
- Newsletter sign-ups: your email address.
Information collected automatically
- Google Analytics, only if you accept analytics cookies on our cookie banner, uses cookies to record the pages you visit, how you arrived, your browser and device, and your approximate location. We use it to understand how the Website is used.
- Vercel Web Analytics records page views without using cookies.
- Our hosting provider keeps standard server logs, including IP addresses, to operate and secure the Website.
- Abuse prevention: when you submit a form we use your IP address, and a one-way hash of the email address you entered, to limit repeated submissions. These are held in memory only for the length of the rate limit.
- Browser storage: a cookie remembers your choice on our cookie banner, and local storage remembers which version of the homepage you were shown so it stays consistent between visits.

How we use your information
- To respond to your enquiry, schedule and run demos and consultations, and send you the resources you request.
- To send you news and product updates, but only if you sign up to our newsletter or tick the box on the demo request form. You can unsubscribe at any time by replying to any of our emails.
- To understand and improve the Website.
- To protect the Website and our forms from spam and abuse.
We do not sell your personal information.
Who we share it with
We share personal information only with service providers that help us run the Website and our business, and only for those purposes:
- Amazon Web Services delivers the emails our forms send.
- Our database provider stores our mailing list.
- Vercel hosts the Website and provides Vercel Web Analytics.
- Google provides Google Analytics and the video meeting links we send for consultations.
We may also disclose information where the law requires it.
Where your information is processed
Our service providers may store and process personal information outside Canada, including in the United States. While it is there, it may be accessible to courts, law enforcement and national security authorities under the laws of that country.
How long we keep it
We keep form submissions and mailing-list details for as long as we need them for the purposes above, or until you ask us to delete them. Google Analytics data is kept for the retention period set in our Google Analytics account.
How we protect it
The Website is served over HTTPS, access to submitted information is limited to the people who need it, and our forms are protected against automated abuse. No method of transmission or storage is completely secure, but we take reasonable steps to protect the information we hold.
Your choices and rights
- Access and correction: you can ask to see the personal information we hold about you and to have it corrected.
- Withdrawing consent: you can ask us to stop sending you emails or to delete your information. Some information may be kept where the law requires it.
- Cookies: analytics cookies stay off unless you accept them on our cookie banner. You can change your choice at any time with the "Cookie settings" link at the bottom of every page. You can also block or delete cookies in your browser settings, or opt out of Google Analytics with Google's opt-out browser add-on.

The Website is intended for businesses and is not directed at children.
