Every case ends with a report or a reason

An investigation has two honest endings: you file an STR, or you close the case and say why. Quantoflow makes both quick to record and hard to skip, so no case is closed in silence.

The Gap Examiners Find

A common finding in AML reviews is not a missed STR. It is a closed case with no explanation. The analyst may have made the right call, but if the file doesn’t say why, nobody can show it was right. Quantoflow treats the reason as part of closing, not an afterthought.

Where Cases Come From

Cases open from more than one place, and they don’t all carry the same urgency.

Monitoring alerts

  • Escalated from the Monitoring alert queue
  • Transactions come attached
  • Related alerts land in the same case

Production orders

  • Orders from law enforcement or the courts
  • Deadlines you can’t miss
  • Flagged as high priority from the moment they open {{TODO: confirm production orders can open a case and are flagged as high priority}}

Referrals and manual cases

  • Raised by front-line staff or an analyst
  • Created one at a time or uploaded in bulk
  • The source is recorded on every case

Each kind of case runs on its own clock. Review deadlines follow the case’s risk score, and the next due date shows on the case itself, so the riskiest work is never the work left waiting. Intervals can also be set by the kind of case. {{TODO: confirm review intervals can differ by the kind of case (its source), not only by risk score}}

Triage: L1 to L2, With the Reasons Kept

Most alerts don’t need a case. The ones that do need a second look. At each step, the decision and its reason go on the record:

  1. L1 review. The analyst clears the alert or escalates it. Clearing it takes a reason, picked from your team’s templates, such as “Consistent with known customer profile” or “Duplicate of an existing alert or case”, and edited as needed.
  2. Escalation to L2. Escalation templates fill in the required action, severity and deadline, so a hand-off arrives complete.
  3. Investigation. New facts surface as the case goes on. Requests for information, evidence and notes stay in the case file, in order, so the final decision rests on what was found, not on memory.

Two Ways to Close

File an STR

  • The narrative is drafted from the case file
  • The case closes with “STR filed” on record
  • Quantoflow Report files it with FINTRAC

Close without filing

  • A written reason is required to submit
  • Start from a template, then make it specific
  • A reviewer approves the close or sends it back

Templates That Make the Reason Easy to Write

Analysts skip explanations when writing them is slow. Templates fix that. Your team keeps a list of starting points for closing a case, and an analyst picks one, then adds what is specific to this file. The defaults include:

  • Investigation complete, no suspicious activity confirmed
  • STR filed and case closed
  • Enhanced monitoring put in place
  • Customer explanation obtained and accepted
  • Account closed or relationship ended
  • Duplicate of an existing case

You can change the wording, add your own, and set which ones appear first, under Settings. The list belongs to your organization, and so does the language.

A Second Pair of Eyes Before It Closes

A closure goes to review before the case is closed. The reviewer approves it, or sends it back with a reason of their own, such as missing transaction detail, beneficial ownership not verified, or a risk assessment that isn’t finished. The analyst sees exactly what to fix. Whoever asked to close a case can never approve it themselves. How many approvals a close needs, and who may give them, is yours to set.

What You Can Show an Examiner

For any case, closed or open:

  • Where it came from: the alert, order or referral that opened it
  • What was decided at each step: with the reason, the person and the time
  • How it ended: an STR with its FINTRAC receipt, or a written reason for closing
  • Who signed off: the reviewer who approved the close, and any returns before that

Every entry also lands in the audit trail, which no one can alter.
